Job Description
Job Summary
The BID Executive will be responsible for managing the end-to-end bid and tender processes to support business growth in the sales of Microsoft products and services. This role will ensure high-quality proposal development, compliance with tender requirements, and strategic positioning to drive company business growth in Kenya’s dynamic ICT sector.
Reporting Line
This position reports directly to the Head of Business Development
Key Responsibilities
Bid & Tender Management
Identify and monitor advertised bids, tenders, and proposal opportunities across public and private sector platforms
Lead, the preparation, coordination, and submission of responses for bids, RFPs, RFQs, EOIs, and relevant tenders.
Ensure all proposals comply with client requirements: technical, financial, and administrative as well as deadlines, and company standards.
Analyse bid documents from clients across public and private sectors.
Develop bid plans, schedules, and deliverables to ensure on-time submission.
Maintain a repository of reusable bid content, templates, and case studies.
2. Proposal Writing & Documentation
Prepare compelling technical and commercial proposals aligned with Microsoft products and services.
Work with sales, technical teams, and management to craft impactful value propositions.
Review and edit proposal content to ensure accuracy, consistency, and compliance.
Ensure branding and format follow company and Microsoft Partner guidelines.
3. Collaboration and coordination
Work closely with project teams in articulating customer requirements to ensure competitive and feasible technical proposal responses.
Coordinate internal approval processes (pricing, terms, certifications).
Liaise with relevant stakeholders to align bids with product offerings and licensing models.
Facilitate review meetings and approvals before submission.
4. Market Intelligence & Strategy
Maintain a structured opportunity tracking and tender calendar for the organization.
Regularly scan procurement portals, corporate websites, and partner channels for relevant opportunities.
Work with the rest of the Business Development team to qualify opportunities and support Go/No-Go decisions.
Track ICT procurement trends in Kenya (government and enterprise sectors).
5. Compliance
Ensure compliance with Microsoft partner requirements and certifications
Ensure all bids meet regulatory and statutory requirements
Maintain and update company profiles, certifications, and documentation on procurement platforms.
Track renewal deadlines for registrations, certifications, and compliance documents.
Any other duty as may be assigned from time to time, including outside working hours, location and environment.
Minimum Requirements
Academic and professional Qualifications
At least one(1) to three(3) years’ experience as a Bid executive in the ICT sector.
A bachelor’s degree (IT/BBIT/Computer Science or any Business-Related Course)
A procurement certification is an added advantage
Essential Skills
Experience working with Microsoft products or within a Microsoft Partner ecosystem is a strong advantage.
Strong understanding of cloud solutions (M365, Azure), licensing models, and modern workplace technologies.
Familiarity with Kenyan procurement laws, regulations, and tendering processes
High level of integrity and the ability to protect the organization’s value by keeping information confidential.
Organized and analytical, able to eliminate sales obstacles through creative and adaptive approaches.
Ability to cope under pressure and prioritize work accordingly.
